We collect information that is necessary to provide our services, operate our website, and fulfil our legal obligations. This includes:

We use the information we collect for the following purposes:

• Service delivery: to provide, manage, and personalise the career coaching services you have purchased, including creating your resume, LinkedIn profile, job application materials, and coaching sessions.
• Communication: to send service updates, delivery notifications, scheduling confirmations, and responses to your enquiries.
• Payment processing: to initiate and manage payments through Payoneer and send payment-related communications.
• Legal compliance: to meet our obligations under applicable law, respond to legal process, enforce our Terms, and protect the rights and safety of our clients and personnel.
• Website improvement: to analyse usage patterns, troubleshoot technical issues, and improve the functionality and user experience of our website.
• Service records: to maintain records of the engagement, including deliverables, communications, and session notes, for the duration of the engagement and any applicable retention period.

We do not use your personal information for unsolicited marketing or sell it to third parties for advertising purposes.

We do not sell or rent your personal information. We share your data only as described below:

• Payment processing (Payoneer): payment details are processed by Payoneer, an FCA-Authorized E-Money Institution, under its own privacy policy and security standards.
• Workspace tools (Notion, Google Drive): your service materials and deliverables are stored and managed using Notion and Google Drive. These platforms are used solely for the purpose of delivering your engagement.
• Third-party service tools (ATS & AI): your resume and job descriptions may be processed through ATS scoring tools (including Jobscan) and AI evaluation tools for keyword optimisation and analysis. The specific tools used are disclosed in your Stage 2/3 Initial Analysis Report. All AI-generated outputs are reviewed and finalised by the Consultant before delivery.
• Legal requirement: we may disclose information where required by law, court order, or regulatory authority, or to protect the legal rights and safety of JobifyCoach, our clients, or the public.
• Business transfer: in the event of a merger, acquisition, or sale of assets, your information may be transferred to the acquiring entity, subject to the same privacy protections.

We retain your personal information only for as long as is necessary to fulfil the purposes for which it was collected, or as required by applicable law.

• Service materials and deliverables are retained for the duration of the engagement and up to two (2) years after termination, consistent with our confidentiality obligations.
• Communication records (emails, messages, session notes) are retained for a period of two (2) years from the end of the engagement.
• Payment records are retained for seven (7) years for tax and accounting compliance purposes.
• LinkedIn credentials, if provided for the profile editing service, are permanently deleted within 48 hours of edit completion.
• Website analytics data is retained in aggregate, anonymised form and does not identify individual users.

Upon expiry of the applicable retention period, personal data is securely deleted or anonymised.

We implement reasonable administrative, technical, and physical safeguards to protect your personal information from unauthorised access, alteration, disclosure, or destruction. These measures include encrypted file storage, access controls, and secure communication channels.

However, no method of data transmission or storage is completely secure. We cannot guarantee the absolute security of information transmitted over the internet. You are responsible for maintaining the confidentiality of any account credentials and for notifying us immediately of any suspected unauthorised access.
